The Office Manager is responsible for completing a high level of confidential diverse administrative support to the Habitat for Humanity Las Vegas administrative offices. The Office Manager is a key component in the inner workings of the organization and provides direct support to the Executive Director. This position is responsible for completing a variety of administrative functions, to ensure organizational effectiveness, efficiency, and safety. As the first impression of the organization, this position is highly visible and works to ensure that volunteers, donors, clients, homeowners, vendors, customers, etc., receive exceptional customer service and have a positive experience. The ideal candidate must be able to balance a variety of responsibilities, have a high degree of flexibility, a professional attitude, demonstrate a high level of attention to detail and the ability to work independently. The Office Manager must have a passion for advocacy on behalf of Habitat for Humanity.
DUTIES AND RESPONSIBILITIES

Performs confidential administrative functions including developing and reviewing correspondence, presentations, and other communication for the Executive Director.

Responsible for developing and implementing office policies by setting up procedures and standards to guide the operations of the office.

Responds to routine external and internal correspondence independently and professionally.

Maintains confidentiality of all personnel, Board of Directors, and organizational related matters.

Answers and directs incoming calls to the appropriate parties. Greets and directs office visitors and clients.

Collects and distributes daily incoming mail, faxes, and packages.

Completes internal grant tracking spreadsheets, maintains required documentation, and generates required reports.

Assists Executive Director in maintaining donor relationships by completing data entry and monitoring follow-up tasks in donor management database.

Reviews invoices and statements for accuracy, follows-up with vendors to resolve any issues with accounts payable.

Produces internal and external written policies, forms, and correspondence.

Assists with the preparation of reports, agendas, material and media for meetings, appointments, and presentations.

Sets-up conference room for meetings and presentations with requested material and equipment.

Maintains, purchases, and receives all office supply inventory, furniture, services and equipment and seeks new vendors as necessary.

Responsible for overall administrative office operations and maintains office and break areas to ensure a professional appearance.

Executes employee hiring processes such as: advertising, scheduling, onboarding, and offboarding.

Conducts tasks related to reviewing and processing employee payroll, annual benefit enrollment and completing related reporting as required.

Completes expense reports, audits and reconciles company credit card documentation for accuracy and allowability.

Audits daily Restore sales receipts, credit card deposits for accuracy and overages/shortages.

Complies with established internal control practices and procedures to ensure proper management of financial transactions.

Receives monetary donations, prepares required receipts, and submits documentation to the Accounting Team.

Completes deposits as necessary.

Assists with maintaining required insurance policies, processing claims and gathering required documentation in alignment with policy requirements.

Collaborates with organizational management on special projects and tasks as assigned.

Assists the Executive Director during special events as required.

Maintain accurate business records for human resources, accounting, construction, and grant purposes.

Maintains integrity in connection with confidentiality of Habitat for Humanity information.

Keeps informed of all new developments within the organization and informs Management and Executive Director as needed.

Performs other duties as assigned by Executive Director.
EDUCATION, KNOWLEDGE, AND SKILLS

High School Degree required, Associates Degree preferred.
-
Minimum 3 years of administrative experience required.

Experience in the non-profit sector or volunteerism is highly desirable.

Working knowledge of Microsoft office application (Word, Excel, Power Point, Publisher).

Exemplary oral and written communications skills.
-
Demonstrate a high level of attention to detail and takes initiative.

Must be able to type 40 words per minute.

Assesses the urgency and importance of situations and takes appropriate action.

Ability to be proactive and work under pressure as the priorities can change quickly.

Ability to handle confidential matters, is discrete and maintains a very high level of professionalism.

Ability to use all office machines. (fax, copy, cameras, etc.)

Excellent organizational, problem-solving and time-management skills.

Professional telephone manner and interaction with individuals at all levels.

Must be flexible and adaptable.

REQUIREMENTS

Must possess a valid Nevada driver license, clean DMV record, reliable personal vehicle and liability insurance.

Must pass a criminal background check and drug screening.
PHYSICAL REQUIREMENTS AND WORK CONDITIONS

Must be able to perform essential functions with or without accommodation.

Must be able to continuously (67%-100% of the workday) and repeatedly use fingering/fine dexterity, wrist motion, flex wrist, grasp/squeeze, handling/gross dexterity, reach at shoulder or below, hear, talk, and sit.

Must be able to frequently (34% - 66% of the workday) reach above shoulder, stoop, kneel, balance, bend, twist body, walk and stand.

Must be able to occasionally lift, carry push, or pull a minimum of 40lbs.

Occasionally (1-33% of the workday) required environmental conditions, dust, exposure to weather, extreme cold, extreme heat, and loud noises.
